    Job Title: Regional Coordinator

    Classification: Full time, Exempt

    Salary Range: $71,000 - $80,000

    Work Location: Hybrid, serving Northern and Central California counties including, but not limited to: Yolo, Solano, Sacramento, Sonoma, Marin, Napa, and surrounding areas. This role requires regular travel inside and across regions and occasional work from KTA’s Berkeley office. Candidates must reside in one of the counties listed, or within a reasonable commute distance.

    Job Overview

    The Regional Coordinator plays a dynamic and integral role within the organization, driving the success of regional programs through comprehensive support of 1:1 business advising, ecosystem building, and overall client engagement. This individual proactively manages diverse responsibilities, including client recruitment and onboarding, team coordination, event orchestration, and ensuring seamless regional operations. The Regional Coordinator fosters meaningful connections between clients, advisors, and community partners, while also refining processes, managing key partnerships, and generating insightful resources that guide program success.

    With a strong commitment to the organization’s values of equity, empathy, transformational leadership, ecological responsibility, and resilience, the Regional Coordinator is essential in empowering communities and advancing the organization’s mission. As a new role in the region, it is important that the Regional Coordinator be adaptive to emergent activities. This position will support KTA’s Region 1 (Yolo, Solano, Sacramento Counties) and Region 2 (Sonoma, Marin, Napa Counties) with the possibility of extending support beyond Regions 1 and 2 as the role evolves.

    Responsibilities

    The primary responsibilities of this role include:

    Regional Program Coordination (60%)

    • Perform routine operational and administrative tasks that drive regional program success.
    • Coordinate activities, meetings, administration of processes.
    • Support annual and seasonal workflows in alignment with program and client needs.
    • Organize and prepare agendas and materials for team meetings.
    • Ensure accuracy and timeliness of regional reporting and activities.
    • Utilize tools and reports to support the Regional Director with program refinement, regional strategy and grant reporting.
    • Facilitate collaboration between regions, program team, and resource generation teams, by scheduling meetings and coordinating gatherings.
    • Tackle ad hoc projects, as assigned, that address emerging client, regional and programmatic needs.
    • Adapt to shifting priorities while ensuring timely completion of tasks.

    1:1 Advising Support

    • Work with regional Business Advisors to meet client needs.
    • Provide administrative support for Business Advisors, including project management and execution of programmatic processes, such as client recruitment, program evaluation, and surveys.
    • Conduct research on resources to support client sessions.
    • Streamline communication of client-facing opportunities, such as grants, to clients in their preferred languages and communication methods.
    • Ensure proper tracking of and reporting on 1:1 business advising activities.

    Ecosystem Building Support

    • Collaborate with the Ecosystem Program team to align regional needs and projects with resources.
    • Ensure proper tracking of and reporting on ecosystem projects for regional and internal organizational coordination.

    Client and Community Relationship Building

    • Plan and execute KTA hosted client gatherings and events.
    • Support program staff in managing partner relations by following up with clients, team, and partners to ensure connections are made and resources are utilized, and occasional participation in events.
    • Foster connection and collaboration with external partners.
    • Serve as the primary contact for regional inquiries.

    Program Operations Support (30%)

    • Work closely with the Program Operations Team to advise on and develop tools to enhance programmatic efforts.
    • Assist in refining program evaluation metrics and compiling regional reports.
    • Utilize Salesforce, Airtable, and Google platforms for tracking and reporting.
    • Manage digital filing systems for easy access by team members

    Organizational Collaboration (10%)

    • Participate in team meetings and retreats; and shared leadership activities including team meeting facilitation, note-taking, etc.
    • Participate in interview processes for new team members, as needed.
    • Perform regular administrative tasks in a timely manner, including time sheets, expense reports, meeting scheduling, etc.

    Qualifications

    • Minimum of five years of relevant experience.
    • Exceptional organizational skills.
    • Bilingual in English and Spanish (or English-Mien, English-Hmong) is strongly preferred.
    • High level of proficiency in Excel and Google Workspace, with the ability to understand complex spreadsheets.
    • Familiarity with Salesforce, Airtable, and similar platforms.
    • An understanding of the agricultural context of our work.
    • Strong interpersonal skills, including tact, patience, and courtesy.
    • Ability to prioritize, plan, and meet deadlines.
    • Ability to successfully work independently, organizing own work and coordinating the work activities of others.
    • Ability to establish and maintain cooperative and effective working relationships with others.
    • The following qualifications are highly preferred:
      • Background in farming, running a small business, or equivalent experience.
      • Familiarity with sustainable farming, food businesses, and nonprofit networks in Northern California.
      • Lived experience or cultural competency to engage with a diverse spectrum of clients.
      • Experience in event planning and execution.

    Travel and Schedule Considerations

    • Due to the nature of the work, candidates must possess a valid driver’s license, with access to a vehicle, for periodic travel throughout Northern California to meet with business advisors and partners.
    • There will be occasional work responsibilities that occur during the evenings and/or weekends.
