Your Role:

As an Office Coordinator/Administrative Assistant, you are the heartbeat of our headquarters and the autonomous leader of our physical domain. In this role, you ensure that our hub of innovation thrives on both efficiency and initiative. This position is ideal for a self-starter who is skilled at navigating solo in a mostly remote company environment. Your proactive leadership ensures that operations run smoothly without the need for continual direction, making you a critical force in maintaining our operational rhythm and orchestrating our community impact.

What You’ll Do:

Office Coordination (75%)

  • Independently design and maintain an inviting and functional office environment, overseeing everything from procurement and arrangement of equipment/furniture to technology setup, to coordination with maintenance staff.
  • Assertively manage inventory and supplies, perform maintenance checks, and maintain the cleanliness and organization of our spaces, ensuring they are always ready to inspire and function at their best.
  • Initiate and oversee a welcoming and comprehensive onboarding process for new team members, making them feel at home from day one.
  • Serve as the first and often sole point of contact for the office, adeptly managing all forms of incoming communication (mail, email, text and voicemail) with substantial autonomy.
  • Provide administrative support across projects, proactively addressing needs and managing tasks to ensure timely and effective execution without waiting for direction.
  • Prepare essential documents, reports, and presentations, alongside scheduling and managing crucial meetings.

Event Coordination (15%)

  • Lead the planning and flawless execution of community events, independently coordinating all logistics and acting as the principal liaison with vendors and partners.

Communications Support (10%)

  • Utilize tools like Canva to develop and execute email campaigns and digital content updates, ensuring all communications align with our vibrant brand and mission.

  • A self-sufficient organizer who excels at multitasking and prioritizing in a dynamic, autonomous environment.

  • An adaptive and resilient individual, with the agility to navigate the rapid pace and evolving needs of a groundbreaking organization in a start-up-like environment.
  • An exceptional communicator and community advocate, deeply invested in racial equity and dedicated to uplifting voices within diverse communities, especially in a Black urban neighborhood.
  • A tech enthusiast proficient in modern tools and platforms, including Google Workspace, Slack, Zoom, MS Office, and project management tools, with an interest in enhancing our collaborative efforts and operational efficiency.
  • Practically equipped with reliable vehicular transportation and the ability to lift up to 10-15 lbs as needed for tasks such as office setup and event coordination.
