Instructions:

The Junior League of Oakland East Bay (JLOEB) is an organization of women whose Mission is to advance women’s leadership for meaningful community impact through volunteer action, collaboration, and training. Our focus area is women, children and gender expansive people who are unhoused in Contra Costa and Alameda counties.


The Office Manager for JLOEB serves as a central point of contact for the Board, Management team, general members, and sustainers. This is to include: communication, correspondence, membership tracking and management. Financial responsibilities include assisting with dues mailing, tracking, fundraisers, and general accounting, as well as acting as a legacy of information and a liaison for members.

Responsibilities include:

Correspondence:

  • Manage phone, mail, and email for JLOEB members, the community, guests or community partners, and committees. 
  • Create and mail donation acknowledgement letters for tax deduction purposes.
  • Mail to include buying postage, generating mailings, assembly and stuffing.
  • Maintain Google Suite account

Financial: 

  • Responsible for transfer process, collaborates with the support of the Secretary on dues tracking for transfers.
  • Routine banking deposits, fundraiser assistance, recording cash, managing refunds, raffles, and basic reconciliation.
  • Pay Bills and process donations.
  • Act as liaison to external bookkeeper and Treasurer.
  • Conduct reconciliation of non-fundraiser events.

Membership:

  • Manage transfers and communication with other Leagues. Collaborates with VP of membership and Sustainer Director on communication with our League.
  • Work in conjunction with Marcom/Webmaster to manage and troubleshoot Digital Cheetah/Member Essentials as well as, create links for fundraising and dues pages. State in the dues email about request status or transfer and the start year that would qualify them to change status 
  • Manage membership reporting, queries and mailing lists, along with ensuring data accuracy and integrity. 
  • Maintain member status and New Member set up on Digital Cheetah.
  • Ensure League calendar management and maintain institutional memory, procedures, and processes.
  • Assist with Obligations Point System 

Miscellaneous:

  • Order office supplies as needed 
  • Most work can be done remotely, however trips to our post office box in Danville and Mechanics Bank for deposits require someone local to the Bay Area.
  • Access to a printer and shredder required.
  • League membership preferred but not required.

Compensation includes the following:

  • $20/hr for average 10–15hs/week
