    Position: Office Associate

    Reports To: Executive Vice President    

    Employment Status: Full-Time

    Office Location: 5 Days a week in NYC Office

    Job Summary

    American Skin Association, a 501(c) 3 non-profit organization, with the mission of advancing research in skin biology and championing skin health, particularly among children, is seeking an experienced and independent individual with exceptional interpersonal and communication skills.

    Responsibilities:

      • Oversee the day-to-day administration of ASA’s office
      • Taking ownership of and executing projects
      • Providing support to the Executive Vice President 
      • Event and fundraising support, inclusive of the Annual Gala and Annual Appeal
      • Preparing materials and taking minutes for Board and Committee meetings
      • Drafting correspondence such as emails and letters
      • Oversee the ASA grant administration process
      • Preparing invoices, reports, memos, letters, financial statements and other documents
      • Processing invoices, preparing checks, and tracking finances
      • Filing and retrieving corporate documents, records, and reports
      • Adhering to all company policies and procedures
      • Maintaining a positive attitude and disposition
      • Effectively communicating with and managing vendor

    Qualifications

      • Bachelor’s Degree require with 2-3 years of experience
      • Prior Executive Administrative experience required
      • Prior event planning or non-profit organization experience preferred, but not required
      • Grant administration experience preferred, but not required
      • Exceptional organizational skills and attention to detail
      • Ability to multitask and adapt to a high-energy and fast paced environment
      • Ability to work independently, as well as on a team
      • Proficient in basic office math
      • Skilled internet researching capabilities
      • Ability to prioritize and manage multiple projects/tasks efficiently
      • High proficiency in Microsoft Word, Excel and PowerPoint
      • Excellent verbal and written communication skills
      • Must be able to work full-time, (5 days in-person) at ASA’s New York office, located in Midtown NYC
