    Summary of Coleman & The Role:

    Coleman Associates is helping to revolutionize health care for the underserved. We are a mission-based organization that serves and supports Community Health Centers all across the United States. This position is singlehandedly responsible for the internal success of all headquarters administration for all of our company trainings. Specifics include generating, editing, packing, and shipping materials for Coleman’s in-person and virtual training events as well as helping with scheduling, planning, anticipating, and succeeding in dazzling our clients. This position also manages travel planning for our team and occasionally attends national training events--travel is expected to be about 5% of the job. This is a full-time position with an estimate of 36-40 hours per week.

    Position Expectations:

    The objectives of this position are broad and include but are not limited to the following…

    • Develops materials both digital (PPTs, Newsletters, emails, etc.) and print for Learning Sessions to get them ready for printing prior to training sessions.
    • Organizes, packs ships, and documents trainings materials that will be shipped to Associates or clients for their trainings.
    • Follows up with clients to ensure materials were received and they were raving fans!
    • Distributes CEU certificates and logs CE information into PARs to ensure clients are receiving their continuing education proof in a timely manner.
    • Edits and updates PowerPoint slides for Learning Sessions following the checklist to ensure all edits are caught such as spelling, template updates, social media icons, font, etc.
    • Maintains inventory, performing periodic checks, and ordering supplies as needed.
    • Checks pricing of materials and cost-compares in order to determine the most economical spend on supplies.
    • Development of the Coleman Newsletter both adapting the templates for each week’s communication and keeping up-to-date data ready to share and discuss on Newsletter calls.
    • Updates and logs long-term data received from clients so that our longitudinal data is accurate and reflective of client-sustained efforts.
    • Coordinates RFP responses in a timely manner by pulling together documents, generating responses, and coordinating additional information from team members when necessary.
    • Checks for Government Contract work and applies for pertinent projects.
    • Distributes marketing materials based on LeadsForensics or Hubspot data.
    • Attends and runs audio/visual needs for Learning Sessions, HIMP calls, webinars, etc. Manages breakout rooms.
    • Maintains accurate attendance tracking on HIMP calls and follows up with RMs on attendance issues.
