Since 1973, Ayuda has provided critical services on a wide range of issues, in the process acquiring nationally recognized expertise in several fields including immigration law, language access, domestic violence and human trafficking. Ayuda has office locations in Washington, DC, Silver Spring, MD and Fairfax, VA.

    WHAT WILL THIS JOB ENTAIL?

    • Legal Department Grant Management: Under supervision of Legal Director, assist in overseeing the entire lifecycle of grants from application through to reporting; Assist in developing and implementing policies and procedures for grant management to ensure compliance with legal standards and organizational policies; Collaborate with legal teams and liaise with grants team to identify funding opportunities that align with organizational goals; Monitor grant expenditures to ensure they remain within budgetary constraints; Prepare reports on grant performance metrics for stakeholders.
    • Legal Department Budget Management: Coordinate with legal teams and liaise with finance team to develop annual budgets for the legal department, ensuring alignment with strategic objectives; Analyze financial data related to departmental spending and provide insights for cost-saving measures; Manage financial forecasting and reporting processes to track budget adherence.
    • Coordinate with finance teams to ensure accurate allocation of funds across various projects.
    • Legal Department Staff Allocations: Assess staffing needs based on project demands and budgetary constraints; Develop staffing plans that optimize resource allocation while maintaining high levels of productivity.
    • Implement training programs aimed at enhancing staff capabilities in grant management and budgeting practices.
    • As a member of the Legal Department, attend Maryland, DC and Virgina team and individual meetings.
    • Lead Legal Team data management, including but not limited to online legal databases and Excel to assist in ensuring accurate data and reporting processes; Coordinate with the Data Team to maintain Legal client files and process reports.
    • Maintain confidentiality of client data and support invisible wall between Legal and other company departments.
    • Foster a collaborative environment among team members to encourage efficient workflow.
    • Support Legal department operations under direction of Legal Director; assist in team meeting scheduling and administrative tasks.
    • Process Improvement: Identify areas for improvement within existing operational processes related to grants, budgeting, and staffing; Implement best practices in legal operations management to enhance overall departmental efficiency; Utilize technology solutions (such as project management software) to streamline operations.
    • External Engagement: Serve as the primary point of contact for the Legal department, in coordination with Development and Grants department, for funder relations; Facilitate communication between various departments (e.g., finance, compliance) to ensure cohesive operations.
    • Compliance & Risk Management: Ensure all grant activities comply with relevant laws, regulations, and organizational policies; Conduct risk assessments related to grant management practices and develop mitigation strategies.
